Role Summary

The HR Operations Assistant supports the efficient delivery of HR operations for International and GSO staff, contributing to a smooth and professional employee experience. The position provides HR administrative support across the employee lifecycle from recruitment activities, employment onboarding and induction programme, through life-cycle processes, to offboarding activities ensuring an optimal employee transition. The HR Operations Assistant handles HR data in Medair’s HR Information System, file management in SharePoint, and coordination of staff and visitor accommodation.

HR strengthens organisational well‑being and operational excellence.

Workplace & Conditions

Global Support Office (GSO) position based in Ecublens, Switzerland, Swiss or eligible EU citizens, or those with a valid work permit for Switzerland.

Responsibilities

• Provide HR administrative support to International and GSO employees onboarding, lifecycle and offboarding administration, data and file management, ensuring compliance with legislation and Medair procedures.

• Process MSAF (Medical Staff Assistance Foundation) reimbursements, communicate and report timely with the broker/insurances regarding the management of various insurance claims.

• Support the management of Medair accommodations by coordinating bookings, keys, per diems, timely and accurate communication with staff/visitors.

• Assist in administering recruitment, the Medair Relief Orientation Course (ROC) and employee inductions.

Qualifications, Experience & Technical Competencies

• Degree in HR or equivalent

• Two years in administrative work, HR experience desirable

• Language skills · Good oral and written English and French

• Competent with Microsoft Office Suite, experience with an HR Information System desirable

Behavioural Skills

• Competent in handling customer-focused communication via email, phone and in person

• Organized, strong attention to detail in administration, meticulous and confidential data management

• Team player, servant-hearted and flexible to adapt to changing priorities

• Understand and effectively navigate global and local operational contexts  

• Good interpersonal skills, ability to work and collaborate within a multicultural team
